• Communications — messages and notifications sent through the Service, including WhatsApp messages

• Deliver accounting, compliance, and business registration services you have requested

• Send notifications about project updates, document readiness, and actions required

3. WhatsApp Messaging

We use the Meta WhatsApp Business API to send service notifications including project updates, document availability, and action-required alerts. By providing your WhatsApp number, you consent to receive these messages.

You may opt out at any time by contacting us at sales@projecttracker.co.za or by replying STOP to any message. WhatsApp messages are processed by Meta Platforms, Inc. subject to their Privacy Policy.

4. Legal Basis for Processing (POPIA)

We process personal information in accordance with the Protection of Personal Information Act (POPIA), 2013 of South Africa, on the basis of contract performance, legal obligation, legitimate interests, and consent.

5. Data Sharing

We do not sell your personal information. We may share it with:

• Regulatory bodies — SARS, CIPC, Department of Labour, and other government departments as required
• Service providers — hosting, email, and WhatsApp messaging providers under confidentiality agreements

Records required for tax and regulatory compliance are retained for a minimum of 5 years in accordance with South African law. Other data is retained while your account is active.

We implement encrypted passwords, HTTPS transmission, access controls, and audit logging. No method of internet transmission is 100% secure; we use commercially acceptable means to protect your data.
